How to Choose an AI Automation Agency

Hiring an AI automation agency is easy to get wrong because the pitch always sounds the same: faster, cheaper, smarter. The difference shows up in the questions you ask before you sign. Here are nine we think every buyer should ask, ours included, and what a good answer sounds like.

First, which workflows have you automated for businesses like ours? Ask for specifics, not a logo wall. A good agency can describe the process, the tools involved and the measured result. If every answer is about technology and none is about a task, be careful.

Second, which of our tools will you connect, and what access do you need? A good partner works with the email, spreadsheets, CRM, accounting software and chat tools you already use. If the plan is to move everything onto the agency's own platform, you are renting, not owning.

Third, where does a person review the AI's work, and what happens when the AI is unsure? Every serious system has a review step and a way to hand a hard case to a human with the context attached. Ask to see it. Be wary of anyone who says the AI never needs checking.

Fourth, how will we know it is working? You want a number agreed before the build starts, such as hours saved, replies sent or errors caught, and a report on it every week. If success is described only as innovation or transformation, there is nothing to hold anyone to.

Fifth, who owns the code and the data? The answer should be you, in writing. Sixth, who maintains it after launch? Prompts, integrations and models drift over time, so someone has to watch them. A good agency has a plan for this and tells you what it costs.

Seventh, what will the first month look like? You should see working software in the first weeks, not a quarterly roadmap. Eighth, how do you handle privacy? Ask where your data goes, which AI providers are used, and whether your data is ever used to train anyone else's models.

Ninth, what will it cost and what changes the price? Most honest agencies will not quote before they understand your work. That is fair.
